I developed a unique but interesting philosophy over years. If I've to do some repetitive tasks 20 times a day – I'd would use automation to make it happen. Some of the repetitive things can not be automated – So I learnt how to do them quickly. Such as skimming & responding to emails – I literally go through and respond to 400+ emails every day. You can do, too. Just you need to learn some keyboard shortcuts and build a mental ability & workflow to tackle these emails. And I do it at a given time – not every time of the day. If you have repetitive tasks, there is someone who does it faster. Learn from them – just look on YouTube for “gmail efficient.” Gmail has keyboard shortcuts. Excel has templates/formulas. These can easily save you an hour a day. What powers all of this? Now, I could have the most amazing sleep methods so I wake up on time, every morning (I do). I could have perfected my method of email so I can read hundreds of emails/day (I do). I've seen people looking for the “Best Productivity App” to stay productive. Trust me, I've used most of the obvious and so called outstanding tools – and concluded that Excel or Google Spreadsheet is the best to-do-manager. Notepad or Word Document or Google Doc is the best writing tool and Gmail is the best email tool. Nothing works better than them. Using tools like live chat or email will immediately put you ahead of the more traditional forms of contact. To get even more out of your customer service, you need to get more efficient. We use these 10 methods to improve our communication with customers. With a bit of passion and a good deal of practice, you also can improve communication skills of your agents and start bending time to get your 2 hours worth of chats in 1 hour of work. Here’s what you need to do to speed things up.

1. Use short, simple sentences.

Don’t complicate your replies. Preparing long replies will not only take a long time to type in for the agent but also to read for the customer. Make your job and your customers’ lives easier by offering shorter answers. If you need to explain how to do something, try to split your reply a bit – one sentence for one step. This makes your replies easier to follow as the customer can simply look to the next step on the list instead of having to scan a block of text for a solution. Don’t go into too much detail. If a customer needs a quick fix to make your payment form cooperate, don’t bore them with explanations on how everything is set up. Try to gauge what customers need to know. If a piece of information can help a customer solve a problem, don’t hesitate to include it. However, if it’s optional, it might be a good idea to skip it to make your reply shorter.

2. Use canned responses

If you often need to write the same reply over and over, try creating a canned response for that reply. Canned responses are pre-made replies that can be quickly recalled during a chat or when replying to an email or a ticket. They are a bit like cheat sheets. However, in this case, you won’t get busted by your teacher when using them! Canned responses will allow you to significantly cut down on your reply time. Instead of having to write the same 100-character-long reply to a particular question, you can simply enter a canned response with just a few characters or a couple of clicks. Over time, you can develop a list of answers for the most common questions you get. When you notice that a particular question is asked often (questions about payments, shipping, sizing, promotions etc.), add it as a canned response. You can also use them to shorten generic phrases too. Instead of writing Thanks for getting in touch with us and have a great day, you could simply write #thanks and get the same message. Canned responses can make each contact with a customer much faster. Just don’t go overboard with them and don’t turn into a robot that uses only pre-made answers, especially if they are on the longer side.

3. Order your cases by priority

Another way to improve communication skills is keeping a certain order to the support cases you handle for customers. As a rule of thumb, the customers that wait the longest should be your top priority as the risk of bad experience is the biggest for them. To avoid making people wait forever for an answer, make sure to always handle older cases first (if a solution is possible) and then work your way down to newer requests. In the long run, this will save you time because you won’t have to explain why you didn’t reply faster. Dealing with emails and tickets that are fresh takes less time as you won’t have to dig as deep to solve them. This logic is especially useful for dealing with email or ticket responses. Some messages can get buried if you receive tons of emails/tickets. It’s important to remember about those messages and deal with them ASAP. For example, instead of clicking on a visitor portrait to bring up a different chat you could simply use a shortcut that would switch you to the next chat. Any action that requires clicking could be potentially sped up by using a shortcut. This can be anything from opening a new browser tab to finding a particular file. You will be able to support customers faster if you know your way around your applications and their shortcuts. Give it a go and try using shortcuts for actions you use often. You can make a list of shortcuts and pin it by your screen to learn them faster. Once you get the hang of if, you won’t even want to touch your mouse because it will seem so slow.

5. Copy and paste parts of customers’ messages

When it comes to shortcuts, the two most popular and useful are Ctrl + C andCtrl + V – the good old copy/paste combo. You probably already use them to make your life easier: when you want to look something from an article up without having to type it in in Google. In the same way, you can use copy and paste to speed up chats with your customers. For example, when a customer asks for a particular product, you don’t have to write the name of the product by hand if you want to include it in your reply. Simply copy and paste it and add the missing information, e.g. price of the product. Be on the lookout for phrases that you can use in a reply to make chatting or responding to an email or ticket a bit faster.

6. Using customers’ words

The next thing you should work on when you want to improve communication skills is spotting and using keywords and names customers use in relation to your business. This can be a name the customer has for a particular product, or something else they mixed up a bit. For example, instead of saying summer salethey could be calling it a summer discount. To make your message more clear, you don’t necessarily have to correct the customer. If you are sure what the customer means, adapt and go with the conversation. If they want to call your promo codes discount thingamajig, go with it and tell them where they should enter their thingamajig to get that 10 percent off their purchase. In situations where you are not sure what they mean, ask them to confirm. Or even better, try to lead the customer and ask if they mean a particular thing. Once you get a confirmation, you can continue to talk about a problem in the customer’s words to make your reply easy to understand.

7. Learn how to type faster

If there is one thing that will help you when you want to improve communication skills in your company, it would be faster typing. Customer service agents spend a whole lot of their time typing. In fact, most of their day will comprise of typing in chat, email and ticket replies. To improve your typing speed, you should start with the basics like proper hand placement. Covering the A, S, D and F keys with one hand and the J, K, L and; keys with the other hand will allow quick access to the whole keyboard. When typing, avoid looking at the keyboard. After a while, your muscle memory will kick in and you will simply know which finger you need to move to reach a particular key. Start slow and check for mistakes. You want to reinforce proper typing habitsand get rid of the negative ones. You can do that only if you pay close attention to what you type. You can use websites like to check on your progress.

8. Gather and use customer data

You can skip large parts of a conversation just by having access to additional customer information. For example, instead of asking for customers’ order IDs, you could pull them from a CRM or your database. It’s like calling a stranger vs. calling and old friend. When you call someone for the first time, there are the greetings, the introductions and honorifics before you can say what you really want. On the other hand, when you call an old friend, you can simply say sup and move to your point. Knowing how to use customer information is an important skill that can give your agents a huge head start as they don’t have to begin their conversations with the same questions. There are a couple ways you can collect and then use this kind of data. You can gather it during pre-chat surveys that are filled with fields like name ,email or order ID. Depending on what your agents need to solve support cases, you can ask for different information. For example, if your customer’s email is essential to solving a problem, you should ask for it straight away. You can also use a CRM service to manage your contacts. They will allow you to create profiles for customers that can be then filled with useful data. 9. Get a second monitor

If you are looking into additional data to speed up conversations with customers, think about displaying it on another screen. You can switch pretty quickly between your main customer service tool like chat and your CRM using the Alt + Tab shortcut, but it’s still slower than simply looking to another screen. You can have your chat, email or help desk on one screen at all times to quickly react to new enquiries and use the other monitor to look up data on customers, check your website and all other things you need to do. 10. Know your limits

If you get too many cases at one time, you will start rushing. When that happens, it’s easy to make mistakes. And you can be sure that your customers will notice the drop in quality! Don’t go overboard with your efforts to make things more effective. Start smalland pick up more cases only when you feel confident with your current workload. It’s good to have a backup plan in case you take on too much. For example, you could have a colleague on standby to help you when things go out of hand.   • Use segments.
Email marketing programs, likeMailChimp, have an option for list segmentation. This is a helpful tool to use to target specific group within your list. You may have a master list with all of contacts and multiple lists for special interests or unique qualifiers – past clients, new leads, etc. The more specific you can be in your segmentation, the better able you are to target and meet the unique needs of your customers.
  • Produce thoughtful, creative content.
Now that you’ve broken your list into segments, it’s time to reach out to those groups with thoughtful, creative content that targets the needs of the group. Consider the nuances in how you communicate with past versus potential clients. For clients interested in a particular service, target the list segment with an informational or special offer exclusively to them.
  • Follow up.
Consider a strategic, tiered approach to your emails. For instance, take advantage of the email metrics section of your program – have additional emails prepared for those individuals that “open” or “click” on your email. They’re interested - keep them engaged with more and more detailed information

My Dear Parents, It took me sometime to connect with you again in this crucial exam time. Every student and parents are stressed out for the exams at hand. So do the teachers! While the students are working harder to get better grades in exams – I thought to share some experiences with you so that you can help them in doing better during exam time. As a parents, you must have dream about your child’s career and education. Right? But let me ask you a very critical question and I want you to answer yourself honestly. How much time do you spend with your child to;
  1. Understand his study practices,
  2. Help him cope with the pressure and
  3. Motivate him to do better than yesterday.
If you’re doing these, your child must be performing well as per your expectations. If not, you should not expect much. I know I am being harsh on parenting. But let me ask you another question. Did you observe your child is;
  1. staying away from you while studying?
  2. Not sharing what happened in school every day with you?
  3. Trying to escape from the discussion on report card?
  4. Not having a joyful conversation with you?

1. Spend time with your child everyday – No Exception.

Your 15 min a day can make significant impact on your child’s education and growth. I understand you don’t get time for your work and other more significant things in life and family, but trust me - this is equally important. So here is the way.What about taking your child out for a 15-minutes-walk after dinner EVERYDAY and talk to him about what happened in school, his struggles in different topics and subject, did he do anything that you should be proud on, etc. You necessarily don’t need to talk about the equations and theorems he learns in school but you can listen to his problems and given him a moral support. That’s enough for him.

2. Encourage him on small wins

Every day, he does something good. You need to find out, during his talks, and pat his back for the small wins. He would tend to do it again and again to be good with you. Your act of encouragement brings him closer to you & will persuade him to do it again. By this, he would stop focusing on things that were not important to you. Eventually he would focus on his studies.

 3. Understand the struggles he is going through with teachers, colleagues, or a particular chapter or any of his daily activities etc.

Not every child are equal in all the disciplines. Some are good at something while others are good at other things. They struggle through some of their daily activities every day. As a parent, you must try to discuss the challenges they are facing and try to offer moral support to them. You should try to show them the right approach to handle this problem.Sometimes, you may not find yourself adequate to solve his problems. Take the help of their teachers, tuition teachers or your spouse to help him overcome the issue. 4. Monitor his schedule and help him in setting the priorities.

A teenager’s brain is highly volatile in nature. They tend to get so involved in the present condition that they don’t look at the future outcomes of any activity. As a parents, if you find that something is not beneficial for him, talk about it in your post-dinner-talks.Educate him about why something is important and the other thing are not. Don’t impose your decisions on him. Instead, help him figure out why something is not right. Once he gets convinced, he would not do it. Be calm, patient and explanatory as much as you can.

5. Set the right environment

You must have set the rules at home that when the child is studying, no party is going on , or somebody is not enjoying the TV etc. This is discipline and a collaborative approach to help him with his studies. And, it should be followed without any deviation by all members in the family. But always remember that your child needs some time to relax, some time to feel happy by doing things that he loves. Let him do that. Try to be a part of it. Lighten the environment of your house and make sure that he is engaged into healthy discussion with family members and friends that are not related to studies.You’re setting him up to a complete man-woman, not a machine.

Many people have ONE GOAL in life. And they aim their lives for that one goal. Good luck with that. The real key is to plant many seeds. 1% of the seeds planted will turn into 50% of the flowers. That’s Garden Math. What are some seeds? Send a thank you letter. Send an intro letter. Send ideas to people. Exercise. Eat well. Surprise your spouse. Make a website. Come up with an idea. Write an article. Read a book. Think of 100 more seeds. Every day, plant some seeds.

6) No excuses.

Blaming is draining. Complaining is draining. Explaining is draining. People say, I don’t have enough time. I get that. For instance, I don’t have enough time to become a professional astronaut. But even that excuse, which two seconds ago I thought was a truism, is false. One day Virgin Galactic and SpaceX will send tourists into space for cheap. So one day I’ll be an astronaut. I have enough time again. No excuses.

I’m really bad at this. Which is why I have to build a habit instead of “do this!” The other day I had dinner with a bunch of interesting people. I have a perfect idea how to follow up with them. But I haven’t done it yet. I don’t know why. It’s hard for me to follow up. So it’s a practice. But I’ll do it. I want to get better at this habit. Following up might be a “nice to meet you” email. That’s how he met Ron Howard (the smartest person in his room). That’s how they together started Imagine Entertainment. That’s how he’s now got the top show on TV (“Empire”).

12) Make Mistakes.

I was teaching my daughter to serve harder. She had a good consistent serve. She never missed. But it was too soft. Easy to return. So I said, “hit it so hard you have to grunt.” She started missing. She was getting depressed. Every shot came in about 6 inches to the left of the box. But then she adjusted. The shots started to hit in the box. And they were harder. I asked her, “what was going on in your head?” She said, “I saw I was hitting too much to the left so I moved it over.” If she kept hitting her safe easy shot, she never would have improved. Only mistakes made her improve. ONLY MISTAKES.

13) Sleep.

Everyone has a different opinion on this. I sleep nine hours a night. Then I try to take a nap during the day. Your brain is most active 2-5 hours after you wake up. Do your productive passion work then. Stay away from people who claim they only need 3-5 hours a sleep a night. They are evil.

14) Say “NO”

I used to travel a lot for meetings. None of them made money. Not a single one. I remember one time sitting by the pool at a hotel in LA. That was fun. I drank and swam and drank and swam. In between, I had meetings that went nowhere. Then I went back to my company. How was LA. Great. One week wasted.

15) A little every day

I want to write a novel. I write a few paragraphs a day. I maybe tweak the outline every day. Guess what. If you write three paragraphs a day you’ll write four novels a year. Three of them might be bad. Maybe ten of them will be bad. Maybe the first twenty will be bad. That’s OK. That means in five years you will be a success. Because of “a little every day.”

16) Don’t be in a rush.

I’ve interviewed about 150 successful people so far for my podcast. I don’t mean “financial success”. Again, money is a byproduct. One thing in common: 10 – 20 years for an overnight success. BUT… Celebrate small successes. Along the way to overnight success (20 years) you will have many many small successes. You can only give yourself permission for the next one if you celebrate the small success. It gives reinforcement to all of these habits. Plus, it’s fun. You know what I mean.

17) Love

I don’t have to teach you what love is. But here’s what I try to do:
  1. if it’s someone I don’t know, I pretend like they are going to die tomorrow. So I treat them with the love we treat someone who will not exist anymore.
  2. if it’s someone I don’t like, I treat them the way a mother treats her child. I wish for their best, no matter what my personal feelings are.
  3. if it’s someone I love but is not making me happy, I sincerely wish them the best for the future.
  4. if it’s someone I love, I listen. I help. I surprise.
Often we pray to things that don’t exist. Often we meditate with invisible goals in mind. Often we believe in science fiction. But right this second you can feel love, and that’s the only religion.

18) Right now.

Every time I’ve had a problem in the future, it never came true. Every time I’ve had a regret in the past, the regret kept me glued to the mud. Right now you are dealt cards. No other hand before or after will help you right now. So this is the only moment to focus on. Right now is the best predictor of Right Life. I said I had 20 habits. I can’t count that high. So I don’t know if this is true. I give myself permission to not be exact all the time. Oh! That’s another habit: Give yourself permission to not always be right. Give yourself permission to not always be liked. Give yourself permission to not always be at peace. Give yourself permission to not be a success. Then you will gradually have whatever you gave yourself permission “to not.” Will these habits make you a millionaire? Yes. Definitely. Will these habits make you a success? Yes. But more important: These habits will make you the sort of person who has these habits. No longer will you be a single ray of light. You will be the sun. Credit: James Altucher

You can use this tool in every walk of life ( except with your wife -- don't be shocked, it does not work there). What is done at this step? This can lead to, can we eliminate some of the steps?


When does this start and finish? This can lead to, can we shorten the time it takes?


Where is this work done? This can lead to, can we do this elsewhere or in various locations?


Why are we doing this? This can lead to, do we need to do this?


How do we do this? This can lead to, is there another way to do this?

How much does this cost? This can lead to, how much would this cost if we made these changes?
